Constitution

UW Laser Tag

The name of the club will be UW Laser Tag. We are not an agent or representative of the Federation of Students, and that its views and actions in no way represent the Federation of Students.

Purpose

The core purpose of UW Laser Tag is to have fun. We want to gather as many people as possible to create an engaging active social environment. We want to provide a positive activity for students to connect with each other.

Membership Structure
Membership is open to all members of the University of Waterloo and the community of Kitchener-Waterloo. Only Graduate and Undergraduate students of University of Waterloo may hold Executive positions.

Membership Fee
The membership fee is $15 cash per term payable to the Economic Adviser no later than the beginning of their second club function. However potential members may attend one event at no cost to try it. The membership fee may be negated if the member provides their own regulation gun for each meeting. The executive members will decide if any gun is regulation or not at any given time. If a member provides a regulation gun after the membership fee is paid, the membership fee will not be refunded.

Executive Positions

Communications Coordinator
– Maintaining Website and Facebook page with up to date information.
– Ensures all members are aware of decisions, changes and voting processes
– All club correspondence is monitored, and brought to the attention of the appropriate person(s)
– The next Communications Coordinator will be trained

Economic Adviser
– Responsible for the bank account with the Federation of Students and all financial transactions for the club.
– Tracking, recording, and collecting all and any membership fees
– Minutes/notes are taken at all meetings
– The next Economic Adviser will be trained

Propaganda Engineer
– Promotes club via word of mouth, posters, etc.
– Regulates membership
– Leads and arranges meetings and events
– The next Propaganda Engineer is trained

All three executive positions will be signing authorities for the club.

Decision Process
If a member wishes to change or modify the current procedures, membership status, or structure of UW Laser Tag, the Executive Members will take the proposal in to account and decide on the outcome via a vote amongst the members of the Executive Members. If at least two members of UW Laser Tag refute the Executive Member’s decision, and the proposal goes to a vote of the entire club. In the case of a tie, a re-vote will take place until the tie is broken. Notification of any vote will be sent out to each member at least 4 days prior to the vote taking place.

Meetings
Meetings will be held weekly. All members will be notified about changes in times, locations or cancellations. This will be done by Facebook, email, phone or website notifications. Once the meeting begins any issues, proposals, or changes will be brought forward to the clubs attention, and then subsequently dealt with using the aforementioned Decision Process. A minimum of 3 members and 1 executive member must be present to conduct the meeting. Afterward the events for the night will be decided. Any subsequent meetings and locations will be decided during this meeting as well.

Any executive member may call an emergency meeting. If a member wishes an emergency meeting to be held, they may contact the Communications Coordinator to arrange one, if the Communictions Coordinator deems it nessecary. If an emergency meeting needs to be held, the Communications Coordinator will contact each member to inform them of the emergency meetings time and date.

Election Process
Elections shall take place at the end of each term for the following academic term. Only UW students can vote. Club members must be notified, by email, two weeks in advance of the meeting where executive elections will take place. The term of office shall be for one term. Nominations for executives can be made from any club member. The majority of executives must be undergrad UW students. The successful candidate will be the one with the most votes. In the case of a tie, a re-vote will take place until the tie is broken.

Damages

If any member damages one of the club’s laser guns they are responsible to pay all fines due to them no later then the next club function. If the laser gun is beyond repair and will not function as intended, the member must pay 70$ to the Economic Adviser by the beginning of the next club function. If the damages are minor and the gun still generally functions as intended the member will be charged a fine of 15$ payable to the Economic Adviser by the beginning of the next club function.

If any member damages any other equipment purchased by UW Laser Tag they are responsible to pay all fines due to them no later then the next club function. If the equipment is beyond repair and will not function as intended, the member must pay 100% of the final cost (including taxes and shipping) of the equipment to the Economic Adviser by the beginning of the next club function. If the damages are minor and the equipment still generally functions as intended the member will be charged a fine of 20% of the final cost (including taxes and shipping) of the equipment payable to the Economic Adviser by the beginning of the next club function.

If a member participates in continuous and excessive damages to club property they may be moved to receive disciplinary measures.

Impeachment

A movement to impeach an executive officer may be made by any executive officer or by petition of at least five voting members. When the motion is made all Executive Members will be informed. A general meeting will be called as soon as is reasonably possible. At the impeachment meeting, the person or persons that initiated the process will state their case. Afterward, the officer under impeachment will have an opportunity to reply.

There will be a question period after which a vote will be taken by an executive member who is neither initiator nor subject of the impeachment. If there is no such officer, any club member may volunteer.

The vote will be by yes/no secret ballot. If at least two thirds of the votes are for impeachment, the officer will immediately be stripped of his or her position. The remaining executive may choose to call an immediate by-election to replace that officer.

Disciplinary Measures
If any member behaves in such a way that is rude, demeaning, unsporting, or disrespectful to the club and/or people around they may be called into question by any member to the Executive Members. If the accusation against the member in question is valid then on first offense the member will be warned of their actions via the Communications Coordinator.

On the second offense a 3 week suspension from all club events and privileges, including voting and the ability to impeach and use club equipment.

On the third offense the member will receive permanent expulsion from the club for at least the remaining of the term. If the matter is serve enough the executive members may extended the expulsion period to future terms.

A petition of at least 5 other members may be formed to put to a vote to revoke any offenses given to a member. At least two thirds of all members must be in agreement to revoke the offense.

Amendments
Constitutional amendments may be proposed by any executive member. The voting procedure will be the same as for the impeachment process, however the secret ballot may be replaced with a public vote.

If the vote passes, the amendment and the vote count will be passed to the Clubs Director for final approval from the Internal Administration Committee. If it is approved the constitution will be amended and a note describing the amendment and the date it was made will inserted into the appropriate section of the constitution.
